Front Desk Receptionist/Share Services Coordinator – Job #1034

Description:

This position is responsible for ensuring that all interactions between administration, employees, customers, and outside services run as smoothly as possible.

Primary Responsibilities

  • Effectively and efficiently manage the reception area of Allakos interacting with employees, visitors, candidates, and vendors while maintaining a high professional standard and professionalism.
  • Answer incoming calls and direct calls correctly.
  • Take and deliver messages as needed via email or directly call the individual.
  • Welcome incoming customers and visitors upon their arrival. Notify internal person of their visitor.
  • Forward any voicemails to the appropriate individual.
  • Maintain cleanliness of lobby/front office area room at all times.
  • Deliver packages and mail to office manager.
  • Act as liaison for employee related technology park programs (overnight parking, gym access, etc) and make requests to building management, when notified by an employee, using the online system.
  • Contact appropriate personnel to accept subpoenas.
  • Ensure the blinds in the board room and lounge are opened and closed every day.
  • Order office supplies, kitchen supplies and paper based on current inventory.
  • Keep all reception Desk Procedure documents current at all times.
  • Responsible for complying with Allakos IT security requirements and policies.
  • Act as floor safety committee member, in the case of an emergency.
  • Provide back up for Facilities Coordinator when necessary.
  • Manage outgoing mail, daily. This includes weighing, stamping, and preparing mail for pick up, when necessary.
  • Manage external shipment activities - to create UPS, Fedex and USPS labels for packages.
  • Order UPS, Fedex and USPS mail shipping supplies as needed.
  • Manage paperwork for facility related compliance items.
  • Manage facility badging systems.
  • Manage facility spare key activities.

Qualifications:

  • Minimum high school diploma or GED equivalent.
  • Two years Community College preferred.
  • One-year front desk reception experience.
  • Two years customer service experience.
  • Knowledge of commonly used concepts, practices, and procedures within the reception fields.
  • Intermediate skills in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Versatile, flexible, and willing to work in a consistently changing environment with enthusiasm.
  • Acute attention to detail.
  • Superior verbal and written communication skills.
  • Proven ability to handle multiple projects while meeting deadlines.
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.

  • Ability to work independently and as a member of various teams and committees.
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace: English.

  • Deliver results in a fast-paced, deadline-driven environment that requires ability to handle multiple tasks simultaneously.
  • Must possess strong interpersonal skills and a demonstrated ability to work effectively both independently as well as in a team environment.
  • Must possess good communication skills and an ability to interact with all levels of Allakos
  • Must be detail oriented; with strong analytical, organization, and problem-solving skills
  • Must have the ability to troubleshoot, research, and solve problems
  • Must possess strong customer service orientation and a high-level understanding of business processes related to pharmaceutical corporate activities
  • Must be highly accountable for assigned work and be able to work diligently with minimal supervision
